WhatsApp or CCB? Choosing the Right Channel

Clarity builds trust, and part of clarity is sending the message in the right place. When volunteers know where to look, nothing gets missed and nobody gets buried. Here is the simple rule.

Use WhatsApp when it needs to happen now

WhatsApp is for quick, direct, real-time communication.

  • Last-minute reminders or changes

  • Team check-ins and confirmations

  • Quick questions or approvals

  • Group coordination, like the photo team or leaders during an event

  • Real-time updates during a service or event

  • Sharing wins, photos, and encouragement

Think "text-worthy." If you would text it, WhatsApp it.

Use CCB or Email when it needs to be kept

Church Community Builder and email are for information that needs to be documented, formal, or sent to a large group.

  • Volunteer scheduling and serve requests

  • Important announcements or detailed updates

  • Files, forms, or next steps

  • Event registrations and reminders

  • Recaps, follow-ups, and debriefs

  • Reaching full teams or large audiences

Think "needs to be saved." If you want a record, email it or CCB it.

A few leader habits

  • Scheduling always lives in CCB. If you mention a change on WhatsApp, make it official in the Schedules tool too.

  • Do not let WhatsApp become the archive. If something important got decided in a thread, send a short recap by email.

  • Protect the evenings. Real-time does not mean all the time. Save non-urgent messages for a reasonable hour.

  • Student and kid teams: volunteers never message minors privately. Student communication goes through parents or approved group channels.
